The problem

Leads wait hours for a reply. Orders get typed into three systems. Someone loses Friday to the spreadsheet. None of it is hard. It just never stops, and it quietly costs you sales, hours, and hires you shouldn’t need.

We find the work that repeats and build the systems that do it. We use the tools you already pay for wherever we can, and write custom software where they fall short.

Services

What we build.

Anything from one automation to the software your whole operation runs on, grouped by the problem it solves.

  1. 01

    Sales & lead response

Every lead gets a fast reply, a follow-up that doesn’t forget, and a place in a pipeline that updates itself.

    • Speed-to-lead texts and emails
    • Follow-ups by pipeline stage
    • CRM setup and pipelines
    • Sales rep alerts and lead routing
    • AI replies over email and SMS
    • Outbound lead sourcing and personalised email
  2. 02

    Operations & admin

The scheduling, onboarding and back-and-forth that fill your team’s day, run by a system instead of a checklist.

    • Booking and scheduling
    • Client onboarding
    • Forms and signatures, filed automatically
    • Reminders and confirmations
    • Internal notifications and handoffs
    • Reports that build themselves

    • Payments and deposits
    • Bookkeeping and invoicing
    • Refunds and partial refunds
    • Receipts and payment reminders
    • Financial records that match across systems
  4. 04

    Integrations & data

Your tools, finally talking to each other. Change something once and it’s correct everywhere.

    • Sync between CRM, database and accounting
    • API and webhook integrations
    • Moving off spreadsheets
    • Data clean-up and migration
    • One source of truth for your records
  5. 05

    Custom software

When off-the-shelf tools don’t fit how you work, we build the one that does and connect it to everything else.

    • Customer and client portals
    • Employee portals
    • Booking systems
    • Admin dashboards and control panels
    • Internal tools
    • Industry-specific software

Your existing software

We work with the tools you already use, whatever they are, and build whatever’s missing.

Any size of project

One piece at a time, or everything at once.

We take on projects of every size. Some clients start with a single automation and add to it as it pays off. Others hand us the whole operation in one go. Either way, every piece is built to connect to the rest, so whatever comes next plugs straight in.

  1. A single automation

One automation that takes one recurring task off someone’s plate.

For exampleEvery website lead gets a text and an email within a minute, and lands in your CRM.

  2. A workflow

Several steps chained across your tools, from first contact to follow-up.

For exampleEnquiry, CRM, follow-ups by stage, booked call, reminder.

  3. A connected system

Sales, payments, accounting and records kept in sync without anyone retyping them.

For exampleA booking takes the deposit, updates the books, emails the invoice and schedules reminders.

  4. Your own software

The portals, dashboards and apps your operation runs on, connected to everything else.

For exampleA customer portal, a staff portal and an admin control panel on one database.

How we build

Built to be relied on.

Automation only helps if you can stop thinking about it. Four rules we build by, and where you can see them in the work above.

  1. 01

    A person where it matters

Automation handles the routine. Anything unusual, sensitive or expensive goes to a human, with the context they need.

In practiceVoice agents: when a caller needs a human, the AI receptionist transfers the call and alerts the team by text.

  2. 02

    Tested before it’s trusted

Systems are checked against real scenarios before launch, and built to tell someone when a step fails instead of failing quietly.

In practiceClient onboarding: every setup ends with a QA pass of test calls and read-only checks, and waits for the owner’s sign-off before going live.

  3. 03

    No black boxes

Documented, explained and handed over. You should be able to run it without us, and call us when you want more.

In practiceTraining: we taught a non-technical founder APIs, webhooks and debugging. Within 30 days the founder was running the AI service alone.

  4. 04

    One source of truth

Customers, bookings, payments and books agree with each other, because one change updates all of them.

In practiceSwim school: the parent booking flow and the admin dashboard share one database, so every family, swimmer and session lives in one place.

Process

How a project runs.

You’ll know what’s being built, and what it costs, before any work starts.

  1. Step 1

    A free AI consultation

We look at how your business runs, find the constraints holding it back, and recommend systems that solve them at every level of complexity. No commitment.

  2. Step 2

    Options, not a pitch

You get up to three ways to solve it, in writing: the simplest, the most complete, and the one we’d pick, each with scope, price and timeline. Sometimes the simplest doesn’t involve hiring us.

  3. Step 3

    Built in the open

Frequent updates and early demos, so you see it working long before launch. Nothing goes live until you’ve tested it and signed off.

  4. Step 4

    Launch and hand over

We launch, document how it works and train your team. Then we stay on for fixes, changes and the next piece when you’re ready.

About

You work with the person building it.

I’m Anthony, founder and lead developer of THOUSAND HANDS. I’m on your calls, I build your system, and I’m the one who answers when something needs changing, so nothing gets lost between a salesperson and a developer.

Before quoting, I look for the simplest way to solve the problem, even when that turns out to be a setting in software you already pay for. I’d rather earn your next project than oversell this one.

FAQ

Questions, answered plainly.

Something else on your mind? anthony@1000hands.ca

My project is small. Is it worth reaching out?

Yes. Plenty of projects start with a single automation, like replying to new leads instantly or sending invoices without anyone typing them. A small project is a low-risk way to see how we work, and it can grow from there or not at all.

How much does it cost?

The AI consultation is free. Project cost depends on scope, so there’s no price list: after the consultation you’ll get options at different levels of scope and price, in writing, before any work starts. You choose, and there’s no obligation.

How long does it take?

A focused automation can often be running within days to a couple of weeks. Larger systems are planned in phases so useful pieces go live along the way. The proposal includes a timeline.

Do we have to replace the software we already use?

Usually not. Most of the time we connect the tools you already have and fill the gaps between them. We only suggest custom software when your tools genuinely can’t do the job.

Our process is unusual. Can you work with it?

That’s the normal case. We start by mapping how your business actually runs and design around that. When no existing tool fits, that’s exactly what custom software is for.

What happens when an automation breaks?

Occasionally something will fail: an app changes how it works, or data arrives in a format nobody expected. We design for that. Failed steps are flagged to a person instead of dropped silently, and anything important can be retried or handled by hand. Fixing what we build is part of how we support it, and support terms are set out in the proposal.

Is our data secure?

We ask only for the access a project needs, keep credentials in secure secret storage rather than documents or chat, and build on accounts your business owns wherever possible. If you have specific security or compliance requirements, raise them early and we’ll design around them.

Do you use AI for everything?

No. AI is useful where something needs judgement, like answering a caller or reading a messy email. Everywhere else, plain automation is cheaper, faster and more predictable, so that’s what we use.

Will our team be able to run it?

Yes. We document what we build and train the people who’ll use it. On one project we trained a non-technical founder to run an AI service alone within 30 days.

Do you offer support after launch?

Yes. We stay available for fixes, changes and improvements as your business changes. Every automation client we’ve worked with so far has come back for more work, and we’d like to keep it that way.

Where are you based?

Toronto, working North American hours. Projects run remotely over calls and regular updates, so your location rarely matters.
